Permission Slip – June Bicycle Olentangy and Virtual Campout 2020
Hello Everyone
Here’s some additional information for the event this weekend. Please read carefully as there is some really important information. I know it’s a lot, but it’s needed to make sure we have a safe trip. Be sure to bring paper copies of the permission slip and medical form on Saturday when you arrive.
- PERMISSION SLIP: Because this is an outdoor event, we need a permission slip for every Scout
- Print and bring a paper copy with you on Saturday
- TEMPERATURE CHECK: We need everyone to record (youth and adult) to record their temperature Saturday morning
- Adults, be sure to do this before that delicious cup of coffee to avoid false alerts 😊
- There is a place on the permission slip to note the temp for all participants in your family (just include name & temp)
- MEDICAL FORM: Again, due to this being an outdoor event, we need a medical form for every participant
- We only need parts A & B (3 pages) that can be completed by a parent

- You must bring a NEW printed copy for every participant (those on file with the troop from last year are not new enough)

- List your name and patrol (adults choose Adult as patrol)
- Choose between cycling and totin chip only
- We are NOT collecting signups for virtual camping – we’ll send a survey out afterwards to collect this information
- LOCATIONS
- Start
- Meet at the Hills Market.
- There is parking on the north side of the market, around back, and in the south end of the parking lot
- We’ll release from the start of the trail on the North side
- Stop 1 – Totin Chip
- TWHS Flats from 9:45 to 11:00 (approx.)
- Down on the flats around behind the football field; clear at the end
- Stop 2 – Team Building Games
- Scouts will be using a GPS to find this location
- When they arrive, the group will participate in team building games
- Scouts will find out the location on Saturday, but here are the coordinates for your record: 40*2’30” N 83*1’49” W
- If you want more information, shoot me a message. I don’t want to spoil it for the Scouts on this message
- Scouts are encouraged to take time to enjoy the trip and explore throughout the day. The time we have available is more than enough to ride and explore
- Groups cannot go further south than the boat house / confluence park

- SAFETY
- Make sure bicycles are in good working order prior to arrival – be sure to test them out
- Helmets are to be worn while riding
- Masks are to be worn while not riding
- Social distance must be maintained
- MEALS
- Don’t forget to eat in advance and pack food for the trail
- GROUPS
- We need plenty of adults for this trip. We have to have 2 per group (which is 2 adults for about every 3-4 youth)
- Youth should be communicating with their patrols now to try to arrange themselves
- Every group will need to ride together and at a pace comfortable for everyone within the group

Overview
- Bicycle ride on the Olentangy Trail
- Multiple activity stops
- Evening tent camping in small groups at Scouts’ homes
Timing
- Sat 9:00am – Meet up at start location (location tba next week)
- We need experienced Scouts to arrive early to help out
- Sat 9:45 – 11:00 – Totin Chip at TWHS
- Non-cyclists are welcome to attend to work on their totin chip. This is needed for those working toward second and first class
- Sat 4:00pm – Return to start location
- Sat 8:00pm – Campfire
Groups
- Groups of 10 or less
- Groups will be created on the day of the event based on who is there and ready as well as relative skill level/bike size
- We need at least 2 adults per group – so adults can come have fun too!
- Adult or older Scout in the front
- Adult(s) in the back
- A group or two of experienced Scouts will be released first so they can prepare to help teach totin chip at TWHS
- Groups will have freedom to go as far as they would like (as long as the whole group is happy)
- Stay on or near the Olentangy trail
- Do not go into downtown…turn around at confluence park or before
Activities
- The main activity is the bicycle adventure down the Olentangy trail
- BRING PLENTY OF WATER FOR THE DAY 😊
- 9:45-11:00 will be totin chip at Thomas Worthington High School
- We will be meeting in the flats all the way around behind the football field down by the river
- Totin Chip will be done in small groups (your cycling group, then non-cyclists will be fit in)
- Experienced Scouts will be teaching this skill – so we need all the help we can get
- Team Building
- A second stop will be given out that Saturday. It will be GPS coordinates so bring a GPS or your favorite GPS app on your phone (this is also a second/first class requirement)
- PLC is coming up with team building games for the individual groups to do on their own
- The rest of the cycling trip is up to the group themselves. So long as they meet back at the start location on time
- 8pm campfire
Camping
- We will need an emcee/host for the campfire like what Luke and Ethan have done
- This will be another Zoom call-in
- Camping in the backyard
- GROUP CAMPING
- We will encourage families get together in small groups if they are comfortable (i.e. a handful of Scouts at the same house in the backyard)
- Only do this if you are comfortable! This is NOT a requirement
- Camping groups should be worked out amongst yourselves and/or your patrol
- WE HIGHLY RECOMMEND USING YOUR PATROL GROUP CHATS TO FIGURE THIS OUT. We don’t want anyone excluded
- Keep groups small
- Non-related Scouts must sleep in separate tents
- Face masks and other guidelines must be followed
Meals
- Everyone is on their own for their meals
- Sat Breakfast: eat before you arrive
- Sat Lunch: pack for trail
- Bring trail snacks
- Sat Dinner: Eat at home or at camping location
- Sun Breakfast: eat at home
